Why a creator-to-maker handoff needs a clear revision, a change note, and one source of truth before production begins.
The question
How can a creator and maker know which file and instructions actually define the job?
A file name can look final while the job is still moving. A creator may adjust artwork, dimensions, copy, or a material callout after sending the first export. If the maker receives the update without a clear revision, the team can easily produce a correct result from the wrong definition.
A revision answers a production question
A revision is not a decorative suffix. It identifies the set of files and instructions that belong together for one production decision. It gives the maker a way to ask, “Is this the current design, and what changed?” It gives the creator a way to confirm that the approved version, not an earlier attachment, was used.
A small workshop does not need a large product-lifecycle-management system to do this. It does need one agreed source of truth. That might be a shared project folder, an order workspace, or a named handoff package. The important part is that the maker can locate the current package without comparing message threads.
What to put with a revision
Use a short revision note with the production package. Keep it specific enough to change a making decision.
- A stable job or product name.
- A revision identifier and date.
- The files included in that revision.
- A plain-language note describing what changed since the previous revision.
- Whether the change needs a new quote, proof, sample, or approval.
- The person who can resolve an ambiguity before production starts.
A note such as “updated file attached” leaves too much open. “Rev B: changed the engraved name from ALEX to ALEXANDER; no geometry or material change” is testable. A maker can compare the request with the package and decide whether the setup or approval needs to change.
Keep the decision separate from the file history
Creators own the design intent. Makers own the physical setup and execution. A revision record does not transfer the maker’s responsibility to inspect the package, flag an unclear requirement, or determine whether the requested method and material can achieve the result. It simply makes the handoff inspectable.
